About the position

The Regional Administrative Assistant plays a crucial role in providing comprehensive administrative support to the Region Operations Manager and Divisional Vice President. This position involves a variety of tasks aimed at ensuring smooth operations within the region, including managing communications, organizing schedules, and maintaining office systems.

Responsibilities

  • Answer and direct phone calls
  • Organize and schedule appointments
  • Write and distribute e-mail, correspondence memos, letters, faxes and forms
  • Serve as the regional point person for all printing and supply requisitions
  • Oversee the maintenance of the copier, printers and fax machine
  • Make travel arrangements and reservations for internal and external customers
  • Maintain contact lists
  • Develop and maintain a filing system
  • Assist in the preparation of regularly scheduled reports
  • Create spreadsheets and PowerPoint presentations
  • Provide analytical support to the management team
  • Manage various databases
  • Assist the management team with unemployment hearing requests
  • Provide support for remote operations leadership
  • Assist in maintaining all alcohol and tobacco licensing

Requirements

  • Proven experience as an administrative assistant
  • Knowledge of office management systems and procedures
  • Working knowledge of office equipment like faxes, copiers and printers
  • Proficiency in MS Office
  • Excellent time management skills and the ability to prioritize work
  • Attention to detail and problem-solving skills
  • Excellent written and verbal communication skills
  • Strong organizational skills with the ability to multi-task
  • High school degree; Associate's degree preferred
