About the position

The Administrative Assistant at Blue Dolphin Yachting Center, Inc. plays a crucial role in supporting the President and other administrative staff by ensuring effective communication and timely completion of administrative tasks. This position requires a highly organized and proactive individual who can manage various responsibilities to improve operational efficiency within the company.

Responsibilities

  • Assist in the execution of work responsibilities to achieve company goals and improve operational efficiency.
  • Greet visitors, manage phone calls, handle mail and shipments, respond to emails, create correspondence, and prepare reports.
  • Coordinate and schedule meetings and appointments.
  • Negotiate and manage the purchase of office supplies and services, ensuring cost-effectiveness and adherence to budgetary constraints.
  • Serve as liaison to the Board of Trustees for multiple charitable foundations, preparing meeting agendas, recording minutes, and managing related correspondence, meeting binders, and communications.
  • Assist in preparing correspondence and legal documentation, and liaising with lawyers, accountants, etc.
  • Provide operational support for marina operation, including accounts receivable & payable, maintenance contracts, employee management, and payroll.

Requirements

  • 10 years of administrative assistant experience required.
  • 5 years of proficient QuickBooks working knowledge required.
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel) and other relevant software.
  • Ability to handle confidential information with discretion and professionalism.
  • Excellent communication and interpersonal skills with a customer service focus.
  • Ability to multitask, prioritize, and manage time effectively.
  • Exceptional attention to detail, ability to work independently and 'follow up' until tasks are completed.

Nice-to-haves

  • 1 year of QuickBooks experience preferred.
