About the position

We are seeking a detail-oriented and organized Administrative Assistant to join our team at Families, Inc. This role is essential in providing administrative support to ensure smooth operations within the office environment. The ideal candidate will possess excellent communication skills and a strong ability to manage multiple tasks efficiently, representing the organization professionally and assisting with various administrative tasks.

Responsibilities

  • Represent Families, Inc. professionally in person, over the telephone, and within the community.
  • Serve as the liaison between our satellite clinics and the Jonesboro corporate office.
  • Schedule medication clinics in the electronic medical record, including confirmation notes and maintaining an accurate daily schedule.
  • Issue school and work excuses as needed.
  • Collect deductible and co-pays, issue receipts for these payments, and forward documentation to the Jonesboro Business Office as requested.
  • Obtain accurate and complete Request for Service information (RFS) and track the status until the RFS becomes an active client or is declined.
  • Request maintenance work and repairs for the clinic.
  • Order supplies for the clinic to ensure all needs are met.
  • Serve as a backup to the Clinical Assistant/Medical Records Assistant in all support service areas.
  • Forward telephone calls to the Jonesboro corporate office, check and lock all outside doors, and tidy the lobby before leaving in the evening.
  • Perform other duties as assigned.

Requirements

  • One year of experience in an office environment is required.
  • Ability to maintain confidentiality.
  • Strong multitasking skills.
  • Proven experience as an Administrative Assistant or in a similar role within an office environment.
  • Experience with phone systems and managing multi-line phones is preferred.
  • Excellent calendar management skills with the ability to prioritize tasks effectively.
  • Attention to detail with strong proofreading abilities to ensure high-quality documentation.
  • Strong interpersonal skills with the ability to communicate effectively across various levels of the organization.

Nice-to-haves

  • Proficient typing skills with excellent spelling and grammar.
  • Strong organizational abilities.
  • Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with office equipment.
  • Prior experience as a medical receptionist is a plus but not required.
