About the position

The Administrative Assistant role is designed for a detail-oriented and motivated individual who will support the operations of a fast-paced tax and financial advising firm. This position involves a variety of responsibilities aimed at ensuring smooth operations and enhancing client engagement, with opportunities for professional growth and performance-based compensation.

Responsibilities

  • Respond to social media comments and direct messages, and manage light hosting duties on Instagram, X, and YouTube.
  • Complete investment account and life insurance documentation, mail out client policies, and handle insurance company correspondence.
  • Review and respond to the inbox of the management team, manage incoming phone calls, and handle direct client follow-ups.
  • Organize and schedule client appreciation events, ensuring that each event is memorable and smooth.
  • Load new clients into financial and/or tax software, gather financial information, and manage records for ongoing client relationships.
  • Use personal vehicle for small errands, such as mailing documents or visiting the post office, with reimbursement provided.
  • Gather and organize client information, support detailed client tracking efforts, and keep track of client tasks to update management.

Requirements

  • Proficient with basic office software (Microsoft Office, Zoom, Outlook).
  • Highly organized with strong attention to detail.
  • Ability to learn and pick up new software quickly.
  • 2 years of customer service experience.

Nice-to-haves

  • Experience with QuickBooks.
  • Bilingual in Spanish.
