About the position

Windsor United Church of Christ is seeking a part-time Administrative Assistant to support the church's pastoral staff, musicians, and congregation. This role involves a variety of administrative duties, including preparing newsletters, managing church calendars, and assisting with financial accounts. The ideal candidate will be organized, detail-oriented, and possess strong communication skills, serving as the first point of contact for the church.

Responsibilities

  • Prepare resources for worship services such as bulletins and Powerpoint slides.
  • Answer telephone, emails, and handle other inquiries and requests as appropriate.
  • Maintain Elexio, the church databases including membership directory.
  • Assist pastor(s)/staff, ministries, and lay leadership with posting minutes, announcements, and special event information for print and digital distribution.
  • Purchase office supplies as authorized by the approved budget.
  • Support the church's annual stewardship campaign, including correspondence preparation.
  • Be the 'face of welcome' for people reaching out to the church by social media, email, telephone, or by coming into the office.
  • Create, format and distribute church newsletter and maintain the church calendar.
  • Update church website and social media outlets as needed.
  • Compile and print annual report.
  • Maintain a list of vendors used for maintenance work and work with the Board of Trustees in contacting vendors for routine maintenance and repairs, and annual inspections.
  • Provide building keys consistent with policies set by the Board of Trustees.
  • Maintain confidentiality of private information.
  • Contribute to a collegial team atmosphere in the church.
  • Enter financial data in Quickbooks, the church's accounting system.
  • Reconcile financial activity and produce monthly financial reports.
  • Monitor online giving, add funds as needed and answer member questions.
  • Track membership giving in Elexio and produce quarterly giving statements.
  • Make deposits of donations.
  • Reconcile the annual budget with income/disbursements, working with the church treasurer.
  • Process payroll, employee benefits, and insurance cooperatively with the church treasurer.
  • In cooperation with the church treasurer, process accounts receivable and payables.
  • Fulfill tax-related requirements including reporting and paying quarterly taxes.

Requirements

  • High school degree or equivalent; an Associate or Bachelor's degree is a plus.
  • Previous office experience is preferred.
  • Self-motivated and detail-oriented.
  • Ability to solve issues and manage daily tasks in a courteous, calm, and professional manner.
  • Excellent organizational skills and ability to respond to situations and needs as they arise.
  • Trustworthy and able to keep sensitive information confidential.
  • Proficiency in Microsoft Office, Google Workspace, and Quickbooks.
  • Willingness to learn church software Elexio and website software.
  • Skilled in Google Calendar, email, voicemail, and social media.
