The Administrative Assistant at Kyyba Inc. is responsible for performing a variety of administrative duties to support management and staff within the organization. This role involves managing calendars, preparing documents, coordinating travel arrangements, and maintaining confidentiality while handling both electronic and hardcopy documents. The position requires strong organizational skills and the ability to manage multiple tasks effectively.

Responsibilities

  • Perform a variety of administrative duties to support management and staff.
  • Manage calendars and schedule meetings as requested.
  • Prepare and manage department documents, both electronic and hardcopy.
  • Coordinate travel arrangements and manage travel itineraries.
  • Run errands off-site as necessary, including trips to the post office and for food and beverages for meetings.
  • Order office supplies and create expense reports as necessary.
  • Organize site events with support from others.
  • Send site communications via email and track responses.
  • Manage email distribution lists and escalate printer issues to the client.
  • Learn to back up existing employees for purchase requisitioning and reporting in SAP.

Requirements

  • Strong skills in Microsoft Word and Outlook.
  • Solid skills in Excel for basic use.
  • Experience with SAP is preferred but not required.
