About the position

PBI International is looking for a highly organized and detail-oriented Administrative Assistant to support the Operations Department and Office Manager in Sulphur, LA. This full-time role is essential for ensuring the smooth functioning of office operations and providing critical administrative support.

Responsibilities

  • Provide administrative support to the Operations Department and Office Manager as needed.
  • Manage the day-to-day maintenance of office operations, including handling incoming mail, ordering supplies, overseeing office equipment, and managing billing processes.
  • Assist with Accounts Payable tasks, ensuring accurate and up-to-date financial records.
  • Support the creation and processing of purchase requisitions.
  • Greet and assist visitors, as well as new hire applicants, maintaining a professional and welcoming office environment.
  • Work collaboratively with the administrative team to manage office functions, including answering mainline phones and addressing general inquiries.
  • Organize and maintain both digital and physical office files, documents, and records.
  • Input and update data in spreadsheets, databases, and systems as required.
  • Handle confidential and sensitive information with discretion and professionalism.

Requirements

  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) is required.
  • Strong organizational skills and attention to detail, with the ability to prioritize tasks effectively.
  • Excellent verbal and written communication skills.
  • Self-motivated with the ability to manage multiple tasks independently while meeting deadlines.
  • A minimum of 2 years of experience in an office environment is required.

  • Ability to occasionally lift and move items weighing up to 10 pounds and perform tasks that may involve standing, kneeling, or stooping.
