About the position

The Administrative Assistant position is a part-time role focused on supporting real estate operations through client follow-ups, lead management, marketing coordination, and administrative tasks. The role requires a valid Massachusetts Real Estate License and involves a hybrid work environment, allowing for flexibility in work location while ensuring effective communication and organization within the real estate team.

Responsibilities

  • Schedule and follow up on client meetings.
  • Handle communication with past clients for potential leads.
  • Maintain regular check-ins with current clients (both buyers and sellers).
  • Put past clients on a neighborhood watch.
  • Add clients to postables and constant contact.
  • Send quarterly hard mailers and postcards for 'Just Listed' and 'Just Sold'.
  • Manage deal tracker and KV Core.
  • Oversee Zillow Funnel management and review requests.
  • Send anniversary cards to clients.
  • Maintain and update CRM with new leads, client information, and communication history.
  • Follow up on leads and referrals to keep them warm.
  • Draft and schedule social media posts to highlight listings, open houses, and other events.
  • Coordinate the design and distribution of print and digital marketing materials (flyers, postcards, etc.).
  • Order photography, virtual tours, and videography for listings.
  • Organize and promote open houses.
  • Prepare open house materials (sign-in sheets, brochures, etc.).
  • Communicate with contractors, photographers, stagers, and inspectors to ensure services are taken care of.
  • Update sales and marketing reports, tracking property views, days on the market, and feedback from showings.
  • Assist with personal calendar management, scheduling, and reminders.

Requirements

  • Valid Massachusetts Real Estate License is required.
  • Experience in QuickBooks is preferred.
