About the position

The Administrative Assistant at Tennessee Maternal Fetal Medicine plays a vital role in supporting the daily operations of the practice. This position involves handling various administrative tasks, coordinating office functions, and ensuring smooth communication within the practice. The ideal candidate will be a professional, detail-oriented individual with a strong understanding of medical office operations and proficiency with EMR systems.

Responsibilities

  • Provide administrative support to the Practice Administrator and other staff as needed.
  • Assist with document management, including organization, scanning, and maintaining accurate physical and digital records.
  • Act as a point of contact for patients, physicians, and staff, addressing inquiries with professionalism and empathy.
  • Prepare materials and coordinate logistics for provider and staff meetings, including taking and distributing meeting notes.
  • Support scheduling and coordination of administrative tasks to ensure deadlines are met.
  • Maintain and organize patient and provider records, ensuring compliance with policies and procedures.
  • Assist with vendor coordination for office maintenance and supply needs.
  • Support the credentialing process, including managing CAQH applications and renewals.
  • Assist in the organization and upkeep of office spaces.
  • Help maintain and update equipment and supply inventories.
  • Support the organization of Continuing Medical Education (CME) seminars and ensure compliance with certification requirements.

Requirements

  • High school diploma or equivalent; some college coursework preferred.
  • 5 years of experience in a medical office setting with a focus on credentialing, CAQH, QuickBooks, AP, AR, and operations.
  • Proficiency with medical terminology and EMR systems, particularly eClinicalWorks (eCW).
  • Strong organizational, communication, and interpersonal skills.
  • Ability to manage multiple tasks efficiently while maintaining confidentiality.
  • Proficiency in Microsoft Office Suite and QuickBooks.

Nice-to-haves

  • Bilingual in Spanish is desirable.
  • CV Medical Abbreviation knowledge.
  • Accounts payable knowledge.
  • Ability to work collaboratively as part of a team and adapt to new processes and technologies.
