About the position

The Administrative Assistant position at LIFESPAN Services Dobson Creative Campus is designed for individuals who are passionate about organization, planning, and helping others. This entry-level role does not require previous experience in behavioral health services, as training will be provided. The position is crucial for ensuring the smooth day-to-day operations of the program, working closely with administration, ambassadors, and vendors. Responsibilities

  • Answer and direct phone calls.
  • Organize and schedule appointments.
  • Write and distribute email, correspondence memos, letters, faxes, and forms.
  • Order office supplies and research new deals and suppliers.
  • Maintain contact lists.
  • Submit and reconcile expense reports.
  • Act as the point of contact for internal and external clients.
  • Provide general support to visitors.
  • Prepare and process related payroll reports and documents.
  • Submit documentation and payroll data according to scheduled deadlines.
  • Complete initial and ongoing training, and participate in staff development activities.
  • Professionally interact and communicate with a variety of individuals and groups.

Requirements

  • Must be at least 18 years of age.
  • Possess a valid driver's license for a minimum of two consecutive years.
  • Pass criminal record and healthcare registry check.
  • Pass driving record check if providing transportation.
  • High school diploma or general education degree (GED) with two years of experience in an administrative role; or any equivalent combination of education and experience which provides the required knowledge, skills and abilities.
  • Must be proficient in word processing software (MS Word) and spreadsheet software (MS Excel).
  • Must be able to operate a variety of automated office machines and other equipment (e.g. computers, copier, adding machine, typewriter).
  • Commitment to achieve competency in required knowledge, skills, and abilities.
  • Ability to lift up to 40 pounds independently.

Nice-to-haves

  • Current First Aid/CPR blended or classroom certification (training provided if not certified).
