About the position

The Administrative Assistant serves as a vital liaison to the senior management team, playing a crucial role in organizing and coordinating executive meetings while overseeing special projects. The Administrative Assistant must maintain a realistic balance among multiple priorities and work independently on projects from conception to completion. The role also demands the ability to work under pressure, handling a wide variety of activities and confidential matters with discretion. In this role, the Administrative Assistant will complete a variety of administrative tasks, including managing an extremely active schedule of appointments, completing expense reports, and composing and preparing correspondence that may be confidential. The position involves arranging complex and detailed travel plans, itineraries, and agendas for upcoming leadership meetings. The Administrative Assistant will plan, coordinate, and ensure that schedules are followed and respected, acting as a “gatekeeper” and “gateway” to create win-win situations for direct access to the senior management team’s time and office for all employees. Additionally, the Administrative Assistant will facilitate smooth communication between the office and the leadership team, working closely and effectively with the Senior Management Team to stay informed of upcoming commitments and responsibilities. This includes following up appropriately and ensuring that the schedule is maintained throughout the day. The role also involves drafting acknowledgment letters, personal correspondence, and other tasks that support the team’s ability to lead the company effectively.

Responsibilities

  • Completes a variety of administrative tasks including managing an extremely active schedule of appointments.
  • Completes expense reports and prepares correspondence that is sometimes confidential.
  • Arranges complex and detailed travel plans, itineraries, and agendas for upcoming leadership meetings.
  • Plans, coordinates, and ensures schedule is followed and respected.
  • Acts as a gatekeeper and gateway for direct access to the senior management team.
  • Facilitates smooth communication between the office and leadership team.
  • Works closely with the Senior Management Team to stay informed of upcoming commitments and responsibilities.
  • Follows up appropriately to ensure the schedule is maintained throughout the day.
  • Drafts acknowledgment letters, personal correspondence, and other supportive tasks.

Requirements

  • Bachelor's degree required.
  • 3+ years of related experience in supporting Senior Management required.
  • Prior healthcare experience is preferred.
  • Proficient in Google Suite, Microsoft Office (Outlook, Word, Excel, PowerPoint), Adobe Acrobat, and Video Conference Software (Zoom, Google Meets, WebEx, Teams, etc.).
  • Strong organizational skills with the ability to prioritize multiple tasks seamlessly and with excellent attention to detail.
  • Expert level written and verbal communication skills.
  • Demonstrated proactive approaches to problem-solving with strong decision-making capability.
  • Highly resourceful team player with the ability to work effectively independently.
  • Proven ability to handle confidential information with discretion and adapt to various competing demands.
  • Demonstrated ability to achieve high performance goals and meet deadlines in a fast-paced environment.
