About the position

The Administrative Assistant at AFC Industries is responsible for providing comprehensive administrative support to senior leaders, ensuring efficient office operations and managing various clerical tasks. This role involves handling phone communications, managing calendars, organizing meetings, and preparing reports, all while adapting to changing priorities and deadlines.

Responsibilities

  • Provides administrative support to ensure efficient office operations.
  • Manage phone calls and messages according to each executive's preference.
  • Manage the Outlook calendar, scheduling and confirming all internal and external meetings and conference calls.
  • Provide a day-before view of the calendar within Outlook and the CRM system for executives.
  • Ensure executives are on time for meetings.
  • Organize and schedule appointments and plan meetings.
  • Take detailed minutes and meeting summaries.
  • Write and distribute email, correspondence memos, letters, faxes, and forms.
  • Assist in the preparation of regularly scheduled reports and provide sales support.
  • Ensure that deadlines are met and adapt to changing priorities.

Requirements

  • Proven experience as an administrative assistant.
  • Knowledge of office management systems and procedures.
  • Working knowledge of office equipment, like printers and fax machines.
  • Excellent time management skills and the ability to prioritize work.
  • Attention to detail and problem-solving skills.
  • High school degree; additional qualifications as an administrative assistant or secretary will be a plus.
  • Familiarity with or interest in manufacturing.
  • Exceptional organizational skills, follow-through, and attention to detail.
  • Solid experience and comfort level with Outlook, CRM, Word, Excel, PowerPoint, and Keynote software.
  • Strong written and verbal communication skills, including professional phone manners.
