About the position

The Administrative Assistant at Momentum Title Agency plays a crucial role in supporting the efficient operation of the office by performing a variety of administrative tasks. This entry-level position involves direct supervision and requires strong organizational and communication skills to manage office functions effectively.

Responsibilities

  • Answer incoming calls, perform phone screening, and forward to appropriate personnel.
  • Provide callers with information about the organization, including address and directions.
  • Manage calendars, coordinate meetings, prepare reports, and handle correspondence.
  • Welcome on-site visitors, determine the nature of their business, and announce them to appropriate personnel.
  • Prepare, edit, and format documents, reports, presentations, and spreadsheets with high accuracy.
  • Assist in planning and coordinating projects, ensuring deadlines are met and deliverables are completed to company standards.
  • Input, update, and maintain accurate records and databases, ensuring data integrity and confidentiality.
  • Coordinate company events, meetings, and conferences, including logistics, catering, and materials preparation.
  • Provide excellent customer service, acting as a point of contact for internal and external stakeholders.
  • Arrange travel and accommodations for staff, ensuring efficient management of bookings.
  • Maintain efficient operation of front desk and lobby.
  • Receive, sort, and route incoming mail and publications.
  • Maintain phone directory, distribution lists, and conference room schedules.
  • May perform Escrow and/or Title Assistant functions, including opening orders.
  • Perform other duties as assigned.

Requirements

  • High school diploma or equivalent required.
  • 1 year of relevant experience.
  • Excellent verbal and written communication skills.
  • Strong attention to detail and organizational skills.
  • Ability to read, write, and verbally communicate information relevant to job requirements.
  • Good time management skills and the ability to prioritize tasks.
  • Customer service oriented with a professional demeanor.
  • Proficient in MS Office Suite (Word, Excel, PPT, and Teams).
