About the position

The Bilingual Administrative Assistant position is a temporary to hire role based in Apopka, Florida, aimed at providing administrative support to various team members, including the president of the company. The role requires proficiency in both English and another language, as well as strong organizational skills to manage tasks such as document handling, calendar management, and communication with applicants and team members.

Responsibilities

  • Create labor tickets for projects
  • Scan bills of lading and packing slips and place in the appropriate project folder on the server
  • Assist with entering appointments and deliveries and production into Outlook calendars
  • Send invites to responsible parties
  • Proficiency with Microsoft Word and Excel
  • Scan and send documents
  • Assist applicants with completing new hire paperwork
  • Secure proper documentation such as ID, passport, work visa, etc.
  • Translate documents, company policies, and procedures when necessary
  • Assist with organization of the warehouse supervisor's emails and daily activities
  • Take in packages from FedEx, UPS, etc., open mail, scan documents to server, and email to Office Manager
  • Assist the president of the company on individual tasks or requests or special projects
  • Support the president, project manager, project administrator, and office manager on special projects as assigned

Requirements

  • Must be bilingual
