About the position

The Administrative Assistant at Skin Perfect Spa is a part-time role focused on providing exceptional customer service and supporting the operations team. This position serves as the first point of contact for clients, ensuring a welcoming environment while managing various administrative tasks to enhance operational efficiency.

Responsibilities

  • Provide exceptional customer service to clients, answering phone calls, emails, and in-person inquiries.
  • Assist the front desk team with client check-in/check-out, scheduling appointments, and managing cancellations/reschedules.
  • Offer direct support to the Operations Manager with administrative tasks, projects, and initiatives.
  • Maintain accurate records, files, and databases.
  • Manage inventory, supplies, and ordering processes.
  • Develop effective administrative processes to enhance efficiency.
  • Communicate effectively with staff, management, and clients.
  • Maintain confidentiality and handle sensitive information discreetly.
  • Perform other administrative tasks as required.
  • Assist with our makeup line, including custom blend foundation creations, makeup applications, and occasional event support.

Requirements

  • 1+ year of administrative experience, preferably in a spa, med spa, or medical office.
  • Excellent communication, interpersonal, and customer service skills.
  • Proficient in spa management software, electronic medical records (EMRs), or similar systems.
  • Strong organizational, time management, and problem-solving skills.
  • Ability to multitask, prioritize tasks, and work under pressure.
  • High school diploma or equivalent required; associate's or bachelor's degree preferred.
  • Availability to work flexible hours, including evenings, weekends, and holidays.

Nice-to-haves

  • Experience with client scheduling and customer service.
  • Knowledge of HIPAA regulations and confidentiality standards.
  • Computer and Excel knowledge.
  • Familiarity with medical spa services, treatments, and products.
  • Basic knowledge of makeup products and techniques.
