About the position

The Administrative Assistant at Howard Hanna Real Estate Services plays a crucial role in supporting the Sales Manager and enhancing the efficiency of branch operations. This full-time position involves a variety of administrative tasks aimed at assisting agents and ensuring smooth office functionality.

Responsibilities

  • Schedule, promote and support agents on Howard Hanna Mar/Tech tools to increase adoption and efficiency.
  • Onboard new and experienced agents.
  • Process paperwork for agent departures and transfers.
  • Maintain office purchasing and supplies.
  • Manage branch workrooms, supplies, and equipment, including building maintenance supplies and copier/printer toner.
  • Manage branch floor duty/opportunity schedules.
  • Assist sales managers with recruiting packages.
  • Provide assistance to agents with copiers, computers, and phones, assisting the IT department as needed.
  • Troubleshoot agent ordering and submit Help Desk Tickets for tech support.
  • Assist sales manager with office social media posts on Facebook and Instagram.
  • Conduct new agent training on business systems/technology and paperwork procedures.
  • Prepare sales meetings agendas.
  • Process outgoing mail and distribute incoming mail.
  • Provide various administrative training and support to sales managers with RVP approval.
  • Process earnest money and commission check deposits and coordinate files with the TC team.

Requirements

  • Associates degree or 3-5 years of branch operations experience preferred.
  • Proven ability to work well with a varied group of individuals while maintaining a positive and professional manner.
  • Ability to communicate clearly and professionally with all levels of management, agents, and staff.
  • Proficiency in Microsoft Outlook.
  • Proficiency in managing social media platforms including Facebook and Instagram.
  • Ability to train one-on-one or in small group settings.
  • High organizational skills in managing multiple projects simultaneously.
  • Ability to adjust direction when situations warrant.
  • Work independently without regular direct supervision.
  • Ability to multi-task and organize tasks efficiently.
