About the position

C.R. Wannamaker Law, PLLC is seeking a dedicated Administrative Assistant to support its legal team in a new office in Las Vegas, NV. The role involves managing a variety of administrative tasks to ensure smooth daily operations, assisting attorneys with case-related work, and contributing to the overall efficiency and professionalism of the office. The Administrative Assistant will also participate in marketing events and handle client interactions, making this position integral to the firm's success.

Responsibilities

  • Provide comprehensive administrative support to attorneys and legal staff, including calendar management, appointment scheduling, and file maintenance.
  • Prepare and format legal documents, correspondence, reports, and other materials.
  • Greet and assist clients, visitors, and callers, ensuring a professional and welcoming experience.
  • Manage office supplies, inventory, and equipment to maintain smooth daily operations.
  • Handle all incoming and outgoing communications, including mail, emails, and phone calls.
  • Organize and maintain both physical and digital filing systems.
  • Assist in preparing presentations, reports, and other office-related tasks as needed.
  • Coordinate meetings, travel arrangements, and office events.
  • Support legal staff with case management, research, and additional tasks as required.
  • Ensure strict adherence to office policies, procedures, and compliance standards.
  • Participate in marketing events to promote the company and network with potential clients.
  • Schedule and conduct meetings with clients to obtain signatures on important documents.
  • Handle payment processing tasks when required, ensuring timely and accurate transactions.
  • Undertake additional responsibilities as assigned by management to contribute to the smooth functioning of the organization.

Requirements

  • High school diploma or equivalent required.
  • Minimum of 2 years of experience as an administrative assistant, office manager, or in a similar role, preferably in a legal or professional services environment.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and experience with legal software or case management tools is an advantage.
  • Exceptional verbal and written communication capabilities to interact effectively with clients, staff, and external parties.
  • Proven ability to manage multiple tasks efficiently, prioritize responsibilities, and maintain attention to detail in a fast-paced environment.

Nice-to-haves

  • Bilingual abilities in Spanish to facilitate effective client interactions.
  • Familiarity with legal terminology and procedures is a plus.
  • Experience managing calendars, scheduling, and organizing both digital and physical files.
