About the position

JCB Energy Services is seeking a detail-oriented Administrative Assistant to support the management team in various administrative tasks, particularly in billing and customer communication. The role requires excellent organizational skills and the ability to handle sensitive information while working in a fast-paced environment.

Responsibilities

• Work directly with the Operations Manager regarding billing, bill submittals and tracking, invoice creation, AR, and any other tasks that must be completed promptly.
• Work directly with upper management on bill payments, signatures, billing, customer communication, etc.
• Handle payments and receipts and assist in inputting information into QuickBooks Online.
• Reach out to customers regarding payment statuses.
• Answer direct phone calls and emails with professionalism and courtesy.
• Perform clerical duties such as filing, photocopying, scanning, and data entry.
• Utilize excellent computer skills to quickly learn necessary software like Trello, SmartSheets, and Jotform.

Requirements

• Must be self-motivated and able to manage time effectively without supervision.
• Proven experience as an Administrative Assistant or similar role.
• A good understanding of accounting and math skills.
• Excellent communication skills, both written and verbal.
• Strong organizational skills with attention to detail.
• Ability to handle sensitive information confidentially.
• Strong ability to create and maintain reporting for tracking purposes.
• 1 year of administrative experience required, preferably in a construction setting.
• QuickBooks Online and basic Accounts Receivable experience is highly preferred.
