About the position

Anacortes Marine Documentation LLC is seeking an Administrative Assistant to support their vessel title company. This role involves strong phone and computer skills, direct client interaction, and collaboration with industry professionals. The position is suitable for both part-time and full-time candidates and offers competitive wages along with on-the-job training.

Responsibilities

  • Answering a busy phone line with excellent communication skills
  • Support assistance to Title Agents
  • Filing and file management
  • Process daily closings and bookkeeping activities with Quickbooks, including account reconciliations
  • Process daily deposits and wire transfers
  • Maintain regular correspondence and communication with clients
  • Maintain a clean and orderly office space
  • Handle daily mail, FedEx, and UPS as needed
  • Monitor email throughout the day
  • Greet and direct clients as they enter the office
  • Monitor and replenish office supplies as needed
  • Perform upkeep on data filing and paper filing system, ensuring all sensitive documents are secure

Requirements

  • Computer literacy, including Microsoft Office and accurate database entry
  • Experience with Quickbooks
  • Superb written and communication skills, including cultural competence and cross-cultural communication skills
  • Excellent attention to detail
  • Ability to work independently
  • Excellent organizational skills
  • Bondable, including Notary Public license
