The Administrative Assistant plays a crucial role in supporting the operations of a growing landscaping and snow removal company. This position is essential for maintaining organization and efficiency within the team, requiring strong communication skills and proficiency in technology, particularly Excel and QuickBooks.

Responsibilities

• Track and manage company expenses using Excel and QuickBooks, ensuring accurate and up-to-date records.
• Communicate with managers to gather job status updates and request photos of completed work.
• Assist with email management, responding to client and team inquiries professionally and promptly.
• Help organize schedules, coordinate meetings, and manage company calendars.
• Maintain digital and physical filing systems, ensuring all documentation is easily accessible.
• Monitor and order office supplies as needed.
• Assist with payroll processing, invoicing, and other financial tasks using QuickBooks.
• Provide general administrative support, including document preparation, filing, and reporting.
• Follow up with clients for feedback or additional information, helping to resolve any minor service issues.

Requirements

• Previous experience in an administrative or assistant role preferred.
• Strong organizational and multitasking abilities.
• Excellent verbal and written communication skills.
• Proficient in Microsoft Excel and QuickBooks.
• Tech-savvy with the ability to quickly learn new software and tools.
• Experience with managing digital records and organizing files.
• Ability to work independently and manage time efficiently.
• Comfortable working in a fast-paced environment and juggling multiple tasks.
