The Administrative Assistant at FirstCall Mechanical Group LLC plays a crucial role in providing comprehensive administrative support to the team. The role involves maintaining filing systems, managing communications, coordinating travel, and supporting management with various administrative tasks.

Responsibilities

  • Establish and maintain systems related to filing, reporting, and database management.
  • Maintain and respond to emails in a prompt and professional manner.
  • Follow instructions and respond to management direction, completing tasks on time or notifying the Supervisor.
  • Demonstrate accuracy and thoroughness in work performed, looking for ways to promote quality.
  • Make independent decisions on a daily basis regarding task management.
  • Collaborate with support personnel, management, and clients regularly.
  • Coordinate domestic travel, including flights, hotels, and car rentals as needed.
  • Purchase office supplies and equipment, maintaining proper stock levels.
  • Produce reports and compose correspondence.
  • Create presentations and management-level reports.
  • Ensure the highest level of internal customer service.
  • Greet visitors, answer a high volume of incoming phone calls, and deliver world-class service to customers.
  • Coordinate appointments and meetings, managing staff calendars and schedules.

Requirements

  • 5-7 years of management experience or field experience with supervisory responsibilities.
  • Valid driver's license.
  • Active EPA certification.
  • Excellent computer skills, particularly in Microsoft Excel and Microsoft Office applications.
  • Strong phone etiquette and communication skills.

Nice-to-haves

  • Experience in a mechanical or electrical service environment.
  • Familiarity with office supply purchasing and inventory management.
