About the position

The Administrative Assistant at Westchester Torah Academy plays a crucial role in the Operations Team, serving as the first point of contact for visitors and providing essential support for school activities. This position requires a proactive individual who is a strong communicator and can manage various administrative tasks effectively while maintaining a welcoming environment for students, parents, and staff.

Responsibilities

  • Greet students, parents, teachers, and guests professionally and determine their needs.
  • Receive, sort, and deliver mail and packages to the appropriate personnel.
  • Manage the lost and found, distributing labeled items and organizing unlabelled items.
  • Check in visiting guests according to school protocol.
  • Check students in and out for late arrivals or early dismissals.
  • Work closely with the School Nurse and administration regarding student care, especially in emergencies.
  • Answer incoming phone calls pleasantly and informatively to create a positive impression of the school.
  • Monitor school office email and respond or forward appropriately.
  • Manage daily attendance submissions and maintain bus and carpool lists.
  • Oversee dismissal protocols and ensure smooth operations during student dismissal.
  • Stay knowledgeable about school activities, programs, and events related to the school calendar.
  • Assist in managing school supply orders and distributions, mailings, event preparations, and scheduling meetings.

Requirements

  • At least five years of administrative or receptionist experience.
  • Experience in education or non-profit organizations is preferred.
  • Excellent oral and written communication skills.
  • Self-starter eager to learn and maintain a positive attitude.
  • Ability to maintain a high level of confidentiality.
  • Capable of maintaining emotional and intellectual control under stress and interruptions.
  • Flexible team player with strong relationship and listening skills.
