About the position

The Administrative Assistant at Hackmann Wealth Partners plays a crucial role in supporting the operations of a fast-paced financial planning firm. This position involves a variety of administrative tasks aimed at ensuring high-quality client service and smooth operational processes, while adapting to changing priorities in a dynamic work environment.

Responsibilities

  • Coordinate and manage business and personal travel and administrative duties for the President.
  • Provide overall administrative support to all team members in both Operations and Financial Planning.
  • Schedule and confirm meetings with clients and prospects; handle client phone calls and respond to client requests.
  • Maintain spreadsheets of meeting summaries and ensure they are timely updated.
  • Assemble financial plans and other client-facing materials for client meetings.
  • Perform general administrative duties such as scanning, filing, faxing, and archiving.
  • Complete additional operational, marketing, and administrative responsibilities as needed.

Requirements

  • Possess excellent interpersonal, organizational, and written communication skills.
  • Outstanding phone skills are mandatory.
  • Display poise and composure in a professional work environment.
  • Demonstrate dependability and exhibit high degrees of integrity, confidentiality, professionalism, and discretion.
  • Ability to maintain high standards despite pressing deadlines.
  • Willingness to learn and understand general business operations.
  • Ability to handle highly sensitive, confidential, and non-routine information.
  • Microsoft Office Suite knowledge is required.
  • CRM knowledge is a plus but not mandatory.
