About the position

The Administrative Assistant position at UES Professional Solutions 29, Inc. is a part-time role focused on providing essential support to the Raleigh office within the Construction Services Department. This position involves collaborating closely with various managers and staff to ensure smooth operations and contribute to the company's growth. Responsibilities

  • Provide client support including entry of field data, creation of invoices & distribution, and weekly distribution of field paperwork to clients.
  • Scan, file and save field paperwork and other project documents to server and hard folders.
  • Answer the phone, speak with clients and collect accurate information from client inquiries and share with appropriate team members.
  • Cross train on all administrative duties.
  • Assist in special projects such as commercial insurance renewals, tracking of corporate memberships and business licenses.
  • Conduct out-of-office errands on an as-needed basis such as obtaining supplies, package drop-off, etc.
  • Assist with timesheet collection and field reports from technicians.
  • Set up projects in accounting software (Deltek Vantagepoint).
  • Assist with monthly invoicing and weekly report distribution.
  • Assist with collections as needed from clients.
  • Assist with tracking lab assignments and concrete report preparation.
  • Maintain excellent communication both verbally and electronically with supporting staff.
  • Other tasks as assigned.

Requirements

  • High School Diploma
  • Preferred: Minimum of 1 year in an administrative position in an office setting
  • Proficient knowledge and use of Excel and other Microsoft Suite programs
  • Ability to follow directions and carry out instructions in both verbal and written form
  • Ability to define problems, collect data, establish facts and draw valid conclusions
  • Ability to read, analyze, and interpret general business memos, periodicals, professional journals, proposals, technical procedures, and government regulations
  • Ability to write reports and business correspondence
  • Ability to effectively present information and respond to questions from groups of managers, employees, clients, customers and the general public
  • Must be able to use technology efficiently including computers, computer software and phones
  • Must be a problem solver and have the ability to think through and solve problems that may arise
  • Strong interpersonal and communication skills
  • Planning/organizing—the individual prioritizes and plans work activities, uses time efficiently and develops realistic action plans with a strong attention to detail and ability to multi-task
