About the position

The Administrative Assistant at First To Serve, Inc. plays a crucial role in supporting the administrative functions of the organization. This position involves managing office tasks, liaising between staff and management, and ensuring effective communication and organization within the office. The role requires a proactive approach to administrative planning and the ability to maintain a well-organized work environment.

Responsibilities

  • Direct the administrative planning, policies, and procedures after approval by the Governing Board.
  • Meet and greet clients, guests, and others.
  • Perform basic office/clerical tasks including managing the Executive/Administrative Director and client's calendar.
  • Screen all incoming calls and route them to appropriate staff.
  • Maintain files on a daily basis and keep the office organized.
  • Act as a liaison between the Executive Director, Project Manager, and staff.
  • Attend staff meetings to evaluate program effectiveness and identify areas for improvement.
  • Take minutes during meetings and email them to the Executive Director.
  • Develop relationships with other public and private agencies.
  • Prepare and submit necessary weekly reports.
  • Assist staff with all other clerical duties as assigned.

Requirements

  • Associate's degree or equivalent to 5 years of experience in the Administrative field.
  • Proficient in Microsoft Word, Excel, and PowerPoint.
  • Fluent in English; bilingual is a plus.
  • Strong computer literacy and organizational skills.
