The Administrative Assistant at Amy Elizabeth Designs is a part-time, contract role focused on providing executive support and managing office operations within a fast-paced interior design studio. The position requires excellent organizational and communication skills to ensure the smooth running of administrative activities, including managing the CEO's calendar, vendor relationships, and office supplies. The ideal candidate will thrive in an autonomous environment and contribute to maintaining the integrity and efficiency of the office.

Responsibilities

  • Manage CEO's email
  • Check and sort virtual mailbox
  • Monitor and order office supplies
  • Research, establish and maintain relationships with vendors
  • Schedule vendor presentations
  • Research, procure and maintain business software
  • Manage office calendar and CEO appointments
  • Manage Google Drive and file documents in correct areas
  • Organize and maintain a detailed list of contacts
  • Interface with business and personal contacts in a professional manner
  • Monitor and track all team member's timesheets
  • Produce accurate process documents for the design firm
  • Maintain integrity and security of the design firm's financial data
  • Respond to all messages and requests in a timely manner
  • Perform all other administrative bookkeeping duties as needed

Requirements

  • Minimum of 2 years experience supporting executives
  • Exceptional attention to detail and organizational skills
  • Outstanding verbal and written communication skills
  • Ability to focus on multiple projects in various stages of development
  • Ability to work autonomously
  • Ability to work under deadlines in a fast-paced environment
  • Experience communicating with external vendors and trades
  • Experience calendar management
  • Experience email inbox management
  • Reliable computer and WiFi to utilize web-based systems
  • Experience with task management software such as Asana is a plus
  • Time tracking experience is a must
  • Professional phone and email etiquette
  • Exceptional organizational skills
  • Solid written and verbal communication skills
  • Experience with multiple email/calendar management
  • Proficiency with Microsoft Excel and Google Sheets
