About the position

A San Diego professional fiduciary firm is seeking an administrative assistant to support the administration of conservatorship, probate, and trust management. The role involves various office tasks, including communication with financial institutions and assisting fiduciaries with their case loads. The position offers opportunities for growth, especially for candidates interested in becoming licensed professional fiduciaries.

Responsibilities

  • Answer phones and manage communication with clients and institutions.
  • Order supplies and run office errands as needed.
  • Assist primary and staff fiduciaries with their existing case load.
  • Communicate verbally and in writing with banks, financial institutions, insurance agencies, attorneys, CPAs, realtors, and other stakeholders.
  • Locate and collect assets for trusts and estates.
  • Review invoices for payment and compile tax information for CPAs.
  • Monitor trust and estate assets and direct income deposits to appropriate accounts.
  • Visit trust and estate properties and meet with beneficiaries as required.
  • Provide backup support at the front desk, including answering phones and sorting mail.

Requirements

  • High school diploma or equivalent required.
  • 1 year of experience as an Administrative Assistant preferred.
  • 1 year of Paralegal experience preferred.
  • Proficiency in Microsoft Office, especially Excel, is a must.
  • Legal or bookkeeping/accounting background is preferred.

Nice-to-haves

  • Experience working in a law firm is a plus.
  • Interest in becoming a licensed professional fiduciary.
