About the position

The Office Services Administrative Assistant plays a crucial role in supporting the operations of a dynamic mining company. This position involves a variety of administrative tasks aimed at maintaining a safe and efficient workplace, supporting human resources, and ensuring effective communication within the organization. The role requires a proactive individual who can manage multiple responsibilities in a fast-paced environment while maintaining confidentiality and professionalism.

Responsibilities

  • Maintain a high standard of housekeeping in all work areas to provide a safe and healthy workplace for all employees, contractors, and vendors.
  • Establish work relationships vital to efficiently execute daily maintenance activities.
  • Perform support tasks such as document control, event planning, data entry, and expense management.
  • Support and maintain Temporary Employee / Contingent Worker company program.
  • Support and maintain Employment Security Division claims.
  • Assist with coordinating maintenance such as repairs and remodeling at industrial, commercial, and residential facilities.
  • Receive and screen telephone calls and visitors, assist with incoming inquiries, and resolve problems using knowledge of department policies and procedures.
  • Provide confidential administrative support for the Human Resources department.
  • Monitor and circulate mail, records, publications, and order and maintain office supplies.
  • Serve as a liaison between managers, employees, and business partners; scheduling of appointments and meetings.
  • Prepare confidential documents and presentations.
  • Prepare and distribute weekly/monthly communications.
  • Generate requests for payment; code and enter data.
  • Perform other duties as assigned.

Requirements

  • Minimum of two (2) years' prior office administration experience preferred.
  • Minimum of two (2) years' previous construction and maintenance experience preferred.
  • Valid drivers' license required.
  • Ability to lift and carry at least 50 pounds required.
  • Ability to communicate effectively and professionally at all times required.
  • Ability to organize and prioritize a heavy workload in a fast-paced, demanding environment required.
  • Ability to work unsupervised, and understand/follow work standards and procedures required.
  • Advanced, proven knowledge of office management/administrative support practices and procedures required.
  • Proven ability to handle confidential information with discretion required.
  • Advanced experience with electronic filing systems required.
  • Ability to multi-task, self-manage and self-motivate required.
  • Willingness to work weekends and possible overtime required.
  • Ability to work in inclement weather conditions required.
  • Authorized to work in the US without work visa sponsorship.
