About the position

The Administrative Assistant position at TRUMPF involves providing comprehensive administrative support to the EUV leadership and managing various office administration tasks. This role is crucial for ensuring the smooth operation of EUV system projects in North America, requiring a proactive and detail-oriented individual who can thrive under pressure and collaborate effectively with team members.

Responsibilities

  • Assist with employee timecards using ADP
  • Review employee expense reports using CERTIFY
  • Manage special projects utilizing the MS Office suite extensively
  • Collaborate with coworkers to resolve issues, including opening IT tickets and addressing company directory questions
  • Provide general planning support and manage installation scheduling changes in the scheduling dashboard
  • Handle document filings and uploads
  • Plan special/team events
  • Support scheduling and dispatching service missions using proprietary software
  • Track training statuses, badging procurement, and expiration in collaboration with EHS and management
  • Enter purchase orders and sales orders in SAP
  • Assist with onboarding and orientation checklist
  • Support the Training department with training material production and assembly
  • Take meeting minutes and send follow-up communications via email or other electronic formats

Requirements

  • Two-year Associates Degree in Business Administration or equivalent combination of training and experience
  • 1-3 years previous experience in office administration
  • 1-2 years SAP experience required
  • 1 year ADP experience preferred
  • CERTIFY experience preferred
  • Attention to detail and excellent problem-solving skills
  • Strong verbal and written communication skills
  • Organizational, multitasking, and time management skills
  • Proficiency in Microsoft Office (Word, Outlook, Excel, PowerPoint) and operating office equipment
