About the position

The Administrative Assistant will oversee routine and advanced duties while providing support to various teams within the organization. This role involves close collaboration with administrators and other employees to manage files, create correspondence, and prepare reports or documents. The Administrative Assistant will handle a variety of clerical tasks, including calendar management, mail sorting, and invoice preparation, and may also assist in event planning and managing supervisors' schedules.

Responsibilities

  • Answer phones and greet visitors
  • Schedule appointments and maintain calendars
  • Schedule and coordinate meetings
  • Collate and distribute mail
  • Prepare communications such as memos, emails, invoices, reports and other correspondence
  • Write and edit communications, from letters to reports and instructional documents
  • Create and maintain filing systems, both electronic and physical
  • Manage accounts

Requirements

  • Proven experience as an Administrative Assistant or in a similar role
  • Strong organizational skills and attention to detail
  • Excellent written and verbal communication skills
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint)
  • Ability to manage multiple tasks and prioritize effectively

Nice-to-haves

  • Experience with event planning
  • Familiarity with office management systems and procedures
  • Knowledge of basic accounting principles
