About the position

The Administrative Assistant will provide essential support to the CEO, CFO, and President of a small family-owned company. This role involves a variety of clerical and secretarial duties, ensuring smooth office operations and effective communication within the organization.

Responsibilities

  • Assist the CEO, CFO, and President in various duties.
  • Greet visitors and direct them to the appropriate individual or department.
  • Perform secretarial duties including answering phones, transferring calls, and taking messages.
  • Follow up on all messages to ensure they are delivered to the appropriate individuals in an expedient manner.
  • Collect and sort incoming mail on a daily basis.
  • Order all office supplies needed for day-to-day operations and manage the office supply budgets.
  • Retain and file records on contracts and insurances.
  • Perform a variety of clerical duties and compile and sort documents.
  • Attend and take minutes of meetings as directed.
  • Develop and distribute agendas for various meetings.
  • Perform any other duties as assigned by the CEO.

Requirements

  • High school diploma or general education degree (GED).
  • One to three months related experience and/or training, or equivalent combination of education and experience.
  • Computer experience required, with knowledge of computer systems.
  • Proficiency in Microsoft Word, PowerPoint, Publisher, and Excel preferred.
