About the position

Bear Construction Group Inc is seeking a highly organized and energetic Administrative Assistant to support various divisions including Executive, Accounting, Operations, and HR. This role involves a range of administrative tasks aimed at ensuring smooth operations and effective communication within the team and with external clients. The ideal candidate will possess strong customer service skills and be able to handle multiple responsibilities efficiently.

Responsibilities

  • Plan and perform administrative office coordination; relieve division/department leads of technical, clerical, and administrative duties.
  • Compose, prepare, and type a variety of contracts, correspondence, memos, reports, and other materials; edit and proofread documents for proper grammar and formatting standards.
  • Process high volume of invoices and payments.
  • Provide a variety of administrative support including coordinating mailings, processing applications, and responding to inquiries.
  • Maintain a variety of databases and information.
  • Answer telephones and emails; provide information and assistance to Bear Team and clients; take messages or refer calls as required.
  • Organize and coordinate office functions, activities, and communications; assure efficient workflow and office operations.
  • Maintain complex and comprehensive financial records and files pertaining to departmental expenditures, budget balances, investments, payroll, and operations; prepare status reports, charts, and graphs as requested.
  • Operate a variety of business and office machines including computers, applicable software, copiers, 10-key, and calculator.
  • Assist with development of new and improved systems and procedures; assist with implementation after securing approval.
  • Provide excellent internal and external customer service; greet visitors and ascertain nature of business.
  • Train, schedule, and assign duties to clerical staff if appropriate; may supervise and evaluate the performance of assigned personnel.
  • Attend a variety of meetings and prepare meeting minutes as assigned.
  • Arrange travel schedule and reservations for Team members.
  • Conduct studies involving programs, systems, operations, and prepare recommendations or conclusions on assigned projects.
  • Prepare and coordinate purchase of office supplies, equipment, and other expenditures.
  • Provide staff support and administrative assistance to boards, commissions, and committees; prepare reports, agendas, and meeting minutes.
  • Develop and prepare specifications for departmental projects, contracts, purchases, and equipment; research and recommend best practices.
  • Contribute to an environment of teamwork, integrity, and respect.
  • Participate in and help provide cross-training in processes as directed by management.
  • Remain current with relevant technological advancements in the field of construction and historic wood window restoration.
  • Maintain regular, reliable, and punctual attendance.

Requirements

  • Minimum 3 years of increasingly responsible administrative support experience.
  • High school diploma or GED required; some college preferred.
  • Valid driver's license required.
  • Proficiency in QuickBooks and 10 key typing.
  • Excellent communication, customer service, and problem-solving skills.

Nice-to-haves

  • Bilingual in Spanish or Ukrainian preferred.
  • Experience with bookkeeping services preferred.
