About the position

The Administrative Assistant at Cetera will play a crucial role in supporting the accounting department by managing financial records and assisting with day-to-day operations. This position requires strong organizational skills, proficiency in QuickBooks, and effective communication abilities to interact with both internal teams and clients. Responsibilities

  • Enter, update, and maintain financial transactions in QuickBooks.
  • Reconcile bank statements and manage accounts payable/receivable.
  • Generate financial reports and assist in preparing monthly and quarterly statements.
  • Assist in the billings for 401(k) plan documentation and compliance reporting.
  • Provide administrative support to the accounting team, including scheduling meetings and maintaining records.
  • Respond to client inquiries related to their accounts and provide assistance as needed.
  • Ensure accurate data entry and maintenance of client records within QuickBooks and other relevant systems.
  • Assist with payroll processing and ensure compliance with relevant regulations.
  • Work closely with other departments to ensure seamless communication and accurate financial reporting.
  • Participate in team meetings and contribute to process improvement initiatives.

Requirements

  • High school diploma or equivalent; associate's degree in accounting or business administration preferred.
  • Proven experience as an administrative assistant or in a similar role, preferably in a financial or accounting environment.
  • Proficiency in QuickBooks and Microsoft Office Suite (Excel, Word, Outlook).
  • Strong attention to detail and ability to work with numerical data accurately.
  • Excellent organizational and multitasking skills.
  • Strong written and verbal communication skills.
  • Ability to maintain confidentiality and handle sensitive information.
