About the position

The Administrative Assistant at American Campus Communities is responsible for providing comprehensive administrative support to various corporate departments, including Business Operations, Property Operations, Marketing & Leasing, and Development. This role involves managing a diverse range of tasks, requiring independent judgment to prioritize and organize workloads effectively. The position serves as a liaison among internal contacts and supports the overall operational efficiency of the organization.

Responsibilities

  • Perform basic administrative tasks such as calendar management and ordering office supplies.
  • Schedule and organize meetings, conferences, and department activities, including coordinating meals and refreshments.
  • Sort and distribute incoming mail and packages, and prepare outgoing mail as needed.
  • Assist in mailing weekly property packets, including printing labels and scheduling pick-ups.
  • Complete monthly AMEX reports and personal expense reports for timely payment/reimbursement.
  • Organize and print departmental quarterly reports.
  • Respond to front door entry access and coordinate visitor entry with corporate staff.
  • Coordinate travel arrangements for departmental and select corporate employees.
  • Assist with conference and event planning as needed.
  • Draft written responses or replies by phone or email as requested.

Requirements

  • Associate's degree preferred or 4 years of experience in executive administrative support or equivalent education and experience.
  • Proficiency in Microsoft Office Suite, including Excel, Word, PowerPoint, and Outlook.
  • Strong customer service and communication skills, both written and verbal.
  • Ability to manage multiple tasks and meet deadlines in a fast-paced environment.
  • Strong analytical and problem-solving skills.

Nice-to-haves

  • Experience in property management or real estate administration.
  • Familiarity with customer service best practices.
