About the position

The Administrative Assistant at Prairie Dunes Country Club plays a crucial role in providing excellent customer service and administrative support to ensure efficient office operations. This position involves handling phone calls, managing correspondence, and assisting members with inquiries and reservations, all while maintaining a professional and courteous demeanor. The role requires strong organizational skills and the ability to work collaboratively with various departments to enhance member satisfaction and support the General Manager.

Responsibilities

  • Answer phones in a professional and courteous manner, routing calls to their appropriate destination.
  • Perform clerical and administrative tasks including drafting letters, memos, invoices, reports, presentations, filing, typing, copying, binding, scanning, and other tasks as requested.
  • Work with AP/AR Clerk on special projects, providing backup on Accounts Payable as needed.
  • Screen phone calls and route calls to the appropriate party.
  • Maintain polite and professional communications via phone, email, and mail.
  • Provide administrative support to ensure efficient operations of the office.
  • Ensure operation of equipment by completing preventative maintenance agreements and scheduling repair and service.
  • Receive, sort, and distribute mail.
  • Track office purchases and supplies, including purchase requests from other departments as needed.
  • Ensure reception area is tidy and presentable with all necessary stationery and material available.
  • Assist members with questions and taking reservations for special club events as directed by the F&B team.
  • Handle sensitive information in a confidential manner.
  • Develop and update administrative systems to make them more efficient.
  • Work with Human Resources to help coordinate employee events and other projects.
  • Perform miscellaneous office responsibilities and any additional duties as assigned.

Requirements

  • High School diploma or equivalent required; Associate's degree preferred.
  • Two years of experience in office management systems and procedures.
  • Excellent organizational skills, time management, and attention to detail.
  • Proficient with Microsoft Office Suite, specifically Excel.
  • Ability to effectively and professionally deal with members, some of whom may require high levels of patience, tact, and diplomacy to defuse anger.
  • Ability to listen effectively and to speak English clearly over the telephone.
  • Ability to achieve positive member relations and maximize member satisfaction.
