About the position

The Administrative Assistant position at Nabors Industries involves providing comprehensive administrative support to upper management, ensuring efficient operations within a fast-paced environment. The role requires a proactive individual who can manage various administrative tasks, maintain schedules, and assist in communication and documentation processes, all while contributing to the overall success of the team.

Responsibilities

  • Provides administrative support to an upper management level position taking full ownership of all administrative tasks (e.g. travel scheduling, on time schedule, meetings, calls, correspondence, etc.).
  • Performs a wide variety of administrative tasks as directed by immediate supervisor.
  • Maintains appointment schedules and calendar.
  • Receives and distributes incoming mail; reviews and evaluates mail to identify those items requiring priority attention.
  • Provides administrative support to the teams as needed.
  • Regularly composes memos, reports and other correspondence from a brief outline, draft or from verbal instructions.
  • Produces and distributes accurate agendas, meeting minutes and project reports.
  • Determines the most appropriate format and the best method of presentation.
  • Prepares PowerPoint presentations.
  • Covers phone; handles caller's requests and routes calls to appropriate party.
  • Maintains up-to-date files, monitors and controls the filing systems to ensure accuracy and efficient retrieval of data.
  • Revises files categories as necessary or may develop a filing system to meet needs of the department.
  • Regularly makes meeting and/or travel arrangements based on 'sketchy' instructions.
  • Periodically makes independent decisions about details such as best travel schedules, mode of transportation, accommodations, audio visual aids, refreshments, etc.
  • Assists in the preparation of agenda and other meeting documentation.
  • Prepares all paperwork related to visas regarding company travel.
  • Schedules and organizes complex activities such as meetings, travel and conferences.
  • Greets visitors and properly introduces to management.
  • Provides assistance and ensures compliance with policy provisions and standards.
  • Assists team members with copying, faxes, and any other miscellaneous correspondence.
  • Assists and supports executives on personal matters.

Requirements

  • At least 5+ years of administrative experience with at least 3+ years supporting senior executive in a business development environment.
  • Above average communication and interpersonal skills.
  • Strong PC skills including MS Outlook, Visio, Internet, MS Professional (Word, Excel, PowerPoint).
  • Excellent typing, proofreading, spelling and grammatical skills.
  • Ability to perform complex administrative tasks requiring independent judgment and considerable knowledge of administrative processes.
  • Ability to work independently or with minimal supervision.
  • Must be detail-oriented with good organizational skills.
  • Ability to recognize and identify work priorities.
  • Ability to analyze and solve problems.
  • Ability to develop, plan, and implement short- and long-range goals.
  • Ability to foster a cooperative work environment.
  • Must be proactive and ambitious.
  • Ability to supervise and train staff, including organizing, prioritizing, and scheduling work assignments.
  • Ability to make administrative and procedural decisions and judgments on sensitive, confidential issues.
