About the position

The Administrative Assistant at Counsel RVA plays a vital role in supporting the mental health practice by managing client communications, scheduling, billing, and administrative tasks. This position is designed for individuals who are passionate about mental health and dedicated to providing exceptional client experiences. The assistant will be the primary point of contact for clients, ensuring they receive the care and support they need throughout their journey with the practice.

Responsibilities

  • Serve as the primary point of contact for clients, responding to inquiries and providing information about services.
  • Manage appointment bookings, cancellations, and rescheduling to ensure optimal therapist-client engagement.
  • Handle invoicing, billing inquiries, and payment processing with attention to detail.
  • Verify client insurance coverage and benefits prior to appointments.
  • Prepare and submit insurance claims, follow up on outstanding claims, and resolve discrepancies with insurance providers.
  • Assist with general office tasks, including filing, data entry, and maintaining organized client records.
  • Create new and update current client charts in EHR software.
  • Review client charts to verify paperwork and chart completion before first session.
  • Work closely with therapists and other staff members to streamline office operations.
  • Contribute to the development of office procedures and practices to improve efficiency and client satisfaction.

Requirements

  • Bachelor's Degree
  • Eligible to work in the United States
  • High degree of professionalism and ethics
  • Excellent time management skills and ability to prioritize tasks
  • Excellent communication and interpersonal skills with a customer service mindset
  • Proficient in G-Suite (Google Sheets, Docs, etc.) and Microsoft Suite
  • Ability to handle sensitive information with confidentiality and professionalism
  • Applicant must pass a background check

Nice-to-haves

  • Previous administrative experience, preferably in a healthcare or counseling setting
  • Experience with insurance verification and claims processing
  • Previous training in HIPAA
