About the position

The Administrative Assistant at St. Luke's University Health Network plays a crucial role in supporting the organization by performing various administrative duties, facilitating communication, and ensuring efficient operations within the department. This position is dedicated to maintaining high standards of service and contributing to the overall mission of providing excellent care to the community.

Responsibilities

  • Accurately arranges and schedules meetings and appointments, maintaining calendar.
  • Completes payroll documentation and submits according to Network policy.
  • Composes routine correspondence for signatures.
  • Maintains files of contracts and correspondence and related materials electronically and on paper when appropriate.
  • Works interactively within the Department in continuing own development through active participation in in-services and/or continuing education programs.
  • Communicates effectively via telephone, screening calls and referring to appropriate person.
  • Maintains awareness of department budget and works within its resources.
  • Keeps organizational policy and procedure manuals and documents updated.
  • Prepares meeting packages as directed.
  • Takes minutes and attends other meetings as directed.
  • Demonstrates proficiency in the use of dictation systems and various Microsoft Office applications.
  • Designs and maintains databases as needed.
  • Handles complaints appropriately and ensures complete follow through.
  • Sets up meetings, meeting rooms, and resources required for those meetings as directed.
  • Assists Administrator to achieve Agency goals through patient interaction and proactive communications.
  • Utilizes good problem-solving skills.
  • Assists in gathering and recording data as requested.

Requirements

  • Graduate from a secretarial/business administration program preferred.
  • Five years experience as a secretary or administrative assistant.
  • Ability to complete clerical and secretarial duties with tact, courtesy, initiative, and sound judgment.
  • Ability to work independently or with minimal supervision.
  • Computer proficiency in basic and some advanced features of Microsoft Word, PowerPoint, Excel, Access, Visio, and Adobe Acrobat.
