About the position

The Administrative Assistant position at Stefanini Group is a hybrid role that provides essential administrative and clerical support to various levels of management within the organization. The role involves handling diverse and sensitive tasks, ensuring efficient operations, and maintaining confidentiality. The assistant will collaborate with teams, manage schedules, and assist with onboarding new employees, all while working in a dynamic environment that requires strong organizational and communication skills.

Responsibilities

  • Collaboration for meetings, preparing letters, tracking travel expenses, submitting job postings, maintain personal files, ordering supplies and assets.
  • Maintaining files, updating departmental lists, tracking deadlines, and processing expense reports.
  • Assisting with payroll and maintaining team calendar.
  • Preparing, proofreading, and editing documents for accuracy and completeness.
  • Screening, directing, and prioritizing incoming correspondence and phone calls.
  • Managing work orders, invoicing, and maintaining personnel records.
  • Researching issues and preparing summaries, memos, and other necessary documents.
  • Acting as a liaison between internal and external stakeholders.
  • Identifying needs and gaps within the organization related to administrative activities and suggesting solutions.
  • Providing assistance to new employees through the onboarding process.
  • Performing cross-departmental support in a matrixed environment.

Requirements

  • 5+ years of experience in a similar Admin/Clerical role.
  • Fluent in Microsoft applications.
  • Basic knowledge of payroll terminology and some knowledge of Ariba.
  • Strong organizational and time management skills with attention to detail.
  • Excellent oral and written communication skills.
  • Ability to work well under pressure and meet deadlines.
  • Strong overall administrative skills including time administration and expense reports.
  • Solid knowledge of Microsoft Office, particularly Word, Excel, and PowerPoint.

Nice-to-haves

  • Knowledge of SAP is a bonus.
  • Willingness to learn new processes, procedures, and software applications.
