About the position

Robert Half is seeking a short-term contract Administrative Assistant in the non-profit sector to provide essential support to the team in Lexington, Kentucky. The role involves managing various administrative tasks, coordinating appointments, and ensuring smooth office operations to facilitate efficient workflow.

Responsibilities

  • Provide assistance and support to the director and management staff, facilitating efficient workflow.
  • Plan and schedule appointments and meetings, ensuring no scheduling conflicts and efficient time management.
  • Manage and divert incoming and outgoing mail and calls, directing them to appropriate parties.
  • Handle information requests and direct them to the Director as required.
  • Assist in preparing research, reports, and digital files for meetings and presentations.
  • Utilize Microsoft Word, Excel, PPT, and Outlook/Calendars to manage and organize work.
  • Upload scanned receipts to the expense system, ensuring accurate record-keeping.
  • Maintain inventory and manage office supplies as needed.
  • Undertake various ad hoc projects for the Director and other managers, demonstrating flexibility and initiative.
  • Utilize skills in scheduling, managing calendars, confirming appointments, coordinating appointments, and directing phone calls to ensure smooth operations.

Requirements

  • Proficiency in Microsoft Excel is essential for managing data and conducting analysis.
  • Experience in scheduling and managing calendars is required to ensure smooth office operations.
  • Ability to confirm and coordinate appointments to facilitate communication and collaboration.
  • Skills in directing phone calls to appropriate parties are necessary for effective communication.
