About the position

The Administrative Assistant at Five Star Senior Living plays a crucial role in supporting the Executive Director and managing the day-to-day functions of the facility. This position involves acting as a liaison between the facility and the outside community, ensuring effective communication and organization within the office. The Administrative Assistant is responsible for maintaining office supplies, managing records, and providing excellent customer service to visitors and callers.

Responsibilities

  • Answer and forward incoming calls with a strong customer service approach.
  • Provide information about residence and services when the Executive Director is unavailable.
  • Greet and assist visitors, including potential residents, sponsors, and job applicants.
  • Maintain and distribute marketing materials to prospective residents, family members, community leaders, and referral sources.
  • Maintain adequate office supplies while adhering to budget constraints.
  • Accurately maintain the petty cash account according to established financial standards.
  • Maintain personnel and resident files in a confidential and orderly manner, ensuring compliance with HIPAA.

Requirements

  • High School diploma or GED.
  • Excellent interpersonal, written, and verbal communication skills.
  • Strong organizational skills to manage competing priorities effectively.
  • Ability to communicate effectively in an interdisciplinary care setting.
  • Ability to perform computations involving rates, ratios, and percentages.
  • Familiarity with scheduling and communication software.
