About the position

The Administrative Assistant will support the Leasing & Occupancy Department of a non-profit organization in Santa Monica. This role involves assisting the leasing team with various administrative tasks, including scheduling, data entry, and processing leasing applications. The position requires strong customer service skills and proficiency in Microsoft Office applications, particularly Excel, Outlook, PowerPoint, and Word.

Responsibilities

  • Assist the leasing team with scheduling and data entry in Excel.
  • File documents and provide overall support for the department.
  • Process leasing applications and prepare documents for verifications.
  • Greet visitors at the front desk and assist with inquiries.
  • Help maintain marketing lists.

Requirements

  • 1-2 years of administrative experience.
  • Proficiency in answering inbound calls courteously.
  • Excellent customer service skills to handle inquiries and complaints efficiently.
  • Ability to perform data entry tasks with high accuracy and attention to detail.
  • Experience managing email correspondence with timely responses and follow-ups.
  • Capability to handle both inbound and outbound calls with detail orientation.
  • Proficiency in using Microsoft Excel for data management and reporting.
  • Experience with Microsoft Outlook for managing emails, appointments, and tasks.
  • Proficiency in creating and editing presentations using Microsoft PowerPoint.
  • Experience in drafting, editing, and formatting documents using Microsoft Word.
  • Ability to schedule appointments accurately and efficiently.
