About the position

First Station Media is seeking a detail-oriented Administrative Assistant to provide support to managers and employees, assisting in daily office needs and managing the company's general administrative activities. This role is essential for ensuring the smooth operation of the business.

Responsibilities

  • Perform administrative tasks, including filing, data entry, and organizing documents
  • Manage calendars, schedule meetings, and coordinate appointments
  • Answer and direct phone calls and emails
  • Assist in the preparation of reports and presentations
  • Handle incoming and outgoing correspondence
  • Place orders when necessary
  • Assist in organizing company events and meetings

Requirements

  • Bachelor's degree, Associate's degree, and/or comparable experience in Accounting, Communications, Business Administration, or other Business fields of study
  • Unimpeachable writing and communication skills
  • Impeccable attention to detail
  • Extremely organized
  • Previous experience as an assistant and/or receptionist preferred
  • Ability to reliably commute to Shorewood, WI
  • Ability to work Monday - Friday, 8:30 AM - 5 PM with 30-minute lunch

Nice-to-haves

  • Familiarity with billing reconciliation
  • Proficiency in QuickBooks for financial record keeping
  • Experience with accounting, business administration, writing, and/or reception work is a plus
  • Previous experience as a Personal Assistant is advantageous
  • Strong customer support skills
  • Excellent administrative abilities
  • Ability to transcribe accurately
