About the position

The Administrative Assistant will play a crucial role in supporting the operations of community programs at StayWell Health Center. This position requires independent judgment and initiative to perform a variety of secretarial, reception, and office management tasks. The role emphasizes excellent customer service and involves scheduling, data entry, and coordination of activities to ensure smooth program operations.

Responsibilities

  • Utilize independent judgment and initiative in performing diversified secretarial and office management tasks.
  • Maintain excellence in customer service while assisting with meeting scheduling and program performance evaluation.
  • Provide general clerical support and manage telephone communications effectively.
  • Act as a common access point for community participants in the Waterbury Health Access Program/Community Care Team.
  • Perform light telephone patient screening and support weekly to assist team management of patients.
  • Provide diversified secretarial support using various computer programs including Office, Access, Excel, and EHR systems.
  • Screen telephone calls and respond to routine requests for information.
  • Maintain records and data to facilitate efficient office operations.
  • Coordinate and schedule appointments for staff and group meetings as needed.
  • Monitor and manage multiple staff calendars for effective scheduling.
  • Manage office supplies and equipment needs, including tracking inventory and submitting orders for approval.
  • Assist in the hiring of new staff by coordinating interviews and managing access request forms.
  • Assist with coordination of special program functions and outreach events as assigned.
  • Collaborate with the program team to promote effective working relationships and meet program goals.
  • Maintain program knowledge to communicate effectively with patients and providers about program access and enrollment.
  • Assist in data entry of client information into Unite Us as needed.

Requirements

  • Experience with Microsoft Excel and PowerPoint (1 year preferred).
  • Strong organizational and communication skills.
  • Ability to work collaboratively as part of a team.
  • Experience in customer service and patient interaction.

Nice-to-haves

  • Knowledge of EHR systems (training provided).
  • Bilingual in Spanish.
