About the position

The Administrative Assistant at Operation New Hope Inc. will provide essential administrative support across Operations, Technology Services, and Strategic Planning and Compliance. This role is crucial in maintaining the integrity and confidentiality of data, supporting inventory management, and assisting in various administrative processes related to grant programs and client management. The position aims to facilitate the organization's mission of aiding individuals affected by the justice system in their transition back into the community.

Responsibilities

  • Maintains files ensuring accuracy, integrity, and confidentiality of all data.
  • Supports Operations and Compliance Coordinator in maintaining the inventory for technology equipment.
  • Supports the Executive Administrative Manager in coordinating supply orders and inventory across all sites.
  • Prepares and distributes daily reports for all ONH sites on Efforts to Outcome (ETO) platform.
  • Creates, updates, and completes Risk Assessment TouchPoint in ETO.
  • Enters new Ready4Work clients enrolled each week in Global Institute of Forensic Research Electronic Reporting System (GEARS) platform.
  • Completes administrative processes for grant specific programs.
  • Supports grant invoicing process including quality checks of stipend logs and preparation based on individual grant requirements.
  • Complies weekly list of program graduates and uploads to Customer Relationship Management system (CRM).
  • Answers and transfers phone calls, screening when necessary.
  • Responds to and resolves administrative inquiries and questions.
  • Performs other administrative duties as assigned.

Requirements

  • High school diploma or equivalent required; Associate or bachelor's degree in the field of Administration preferred.
  • Two years of administrative assistant or clerical experience preferred.
  • Preference given to candidates with at least 2 years' experience working with marginalized or underserved populations.
  • Must possess excellent interpersonal skills, with a focus on team collaboration.
  • Effective verbal and written communication skills.
  • Organized and detail-oriented.
  • Ability to adapt to change in a fast-paced environment.
  • Proficiency in using computers, running reports, and learning new software.
  • Proficiency with Microsoft Office Suite; Word, Excel, PowerPoint, Outlook, Teams, as well as electronic client records.
  • Must have a valid driver's license, clean driving record and reliable transportation.
  • Must be able to clear a Level I Background check through the Department of Corrections.
