The Administrative Assistant position at Orkin Home Office is a vital role that provides comprehensive administrative support to the Managing Director of National Accounts within a publicly traded organization. This position requires a strong service orientation and the ability to handle a wide range of administrative responsibilities. The successful candidate will be responsible for maintaining confidentiality at all times, preparing and composing various forms of correspondence, including memoranda, presentation materials, and reports. Additionally, the role involves scheduling and managing the calendar of appointments and meetings for the Managing Director, coordinating all related arrangements, and making both domestic and international travel arrangements. In this role, the Administrative Assistant will also manage board preparation and coordinate quarterly results, ensuring that all tasks are organized and prioritized to meet deadlines. The position requires diligent follow-up on all items received through various communication channels, including email, phone, and mail. Maintaining appropriate records, files, and documentation is essential, as is tracking and auditing relevant documents and requests from department heads. The Administrative Assistant will prepare expense reports and accounts payable items, facilitate local to national transfers in the system, and coordinate both virtual and in-person meetings. Additionally, the role includes answering and screening telephone calls, providing timely information, and redirecting calls as necessary. This position offers an opportunity for hybrid working arrangements after onboarding and training, allowing for a blend of office and home-based work.
