About the position

The Outpatient Admin. Assistant plays a crucial role in maintaining the operational efficiency of the outpatient facility. This position is responsible for a variety of administrative tasks including scheduling, financial counseling, records maintenance, and billing oversight. The assistant ensures that clients receive the necessary support and services while upholding high professional standards and conduct.

Responsibilities

  • Perform daily administrative tasks such as scheduling clients, making reminder calls, and greeting clients and visitors.
  • Conduct Utilization Review duties including obtaining authorizations for community-based referrals and managing continuing reviews.
  • Serve as the point of contact for third-party payors and assist with insurance appeals and peer reviews.
  • Communicate with staff and clients regarding financial counseling matters, including insurance coverage and potential costs.
  • Track billing issues and resolve unbilled accounts in collaboration with the Director.
  • Participate in intake assessments, including admitting clients and completing financial counseling.
  • Perform Urine Drug Screens (UDS) and breathalyzer tests when necessary.
  • Manage case documentation for Short-term Disability/FMLA requests and treatment verifications.
  • Engage with staff and clients to enhance efficiency and integration within the practice.
  • Collect client fees, reconcile payments, and prepare daily deposits.
  • Order and manage office supplies and prepare correspondence and reports.
  • Answer telephone calls and take messages accurately.
  • Inform clients of required treatment information and manage client accounts related to grants or Medicaid billing.
  • Develop administrative withdrawal lists and maintain financial summaries for private pay clients.
  • Build rapport with clients using motivational interviewing techniques and maintain strong relationships with staff.
  • Protect client and agency information, adhering to confidentiality rules and regulations.
  • Demonstrate pride in work and seek process improvements while following organizational policies.
  • Maintain a safe environment for co-workers and clients, understanding safety and emergency procedures.

Requirements

  • Bachelor's degree preferred or equivalent experience in a clinical or business-related field.
  • At least two years of previous experience in office management, preferably in a healthcare environment.
  • Customer-focused perspective related to clinical operations.
  • Experience in an outpatient practice setting.
  • Dynamic and enthusiastic personality with strong communication skills.

Nice-to-haves

  • Experience with healthcare billing and insurance processes.
  • Familiarity with electronic health record systems.
