About the position

The Administrative Assistant position at a local manufacturing client in Hialeah, FL, is a temporary to permanent role focused on providing administrative support within the office environment. The role involves various clerical tasks, including managing communications, maintaining records, and assisting with financial transactions, all while ensuring a smooth operation of the office.

Responsibilities

  • Answer and direct phone calls
  • Post daily transactions in the company's ERP System
  • Post daily transactions in Quick Books
  • Assist with account receivables and payables
  • Coordinate weekly deliveries
  • Assist in the preparation of bi-weekly payroll
  • Maintain the filing system
  • Update and maintain office policies and procedures
  • Order office supplies and research new deals and suppliers
  • Submit and reconcile expense reports
  • Provide general support to visitors
  • Act as the point of contact for internal and external clients
  • Liaison with executive and senior administrative assistants to handle requests and queries from senior managers

Requirements

  • Fluent in English and ability to communicate in Spanish
  • At least 1 year prior office experience
  • Associates Degree or higher
  • Computer skills on Microsoft Word, Excel & PowerPoint
  • Knowledge of office management systems and procedures
  • Customer service focused and detail-oriented
  • Ability to work under pressure and in a fast-paced environment
  • Strong communication and analytical skills required
