About the position

The Administrative Assistant at ACEC California plays a crucial role in providing general office administrative support to the organization. This full-time position involves managing various administrative tasks, maintaining membership databases, supporting legislative tracking, and assisting with events. The ideal candidate is a proactive, organized, and detail-oriented individual who can work independently and as part of a team.

Responsibilities

  • Assist in maintaining the membership database and notify appropriate chapters of membership changes.
  • Produce chapter membership rosters for chapter officers and assist with annual update forms from member firms.
  • Conduct quarterly audits with the National organization and assist with membership dues billings.
  • Attend monthly scholarship meetings and take minutes, while also soliciting donations for the scholarship raffle and silent auction.
  • Track donations in a spreadsheet and promote the scholarship program.
  • Provide general staff support for legislative tracking, data entry, and prepare Capitol Track reports.
  • Prepare and format official letters and distribute them via email or drop-off.
  • Collect 'Call to Action' letters from membership and schedule meetings and conference calls.
  • Assist with event support, including badges and tent cards for registrants and speakers, and shipping materials for seminars and events.
  • Provide professional customer service to members regarding events and accommodations.
  • Assist in posting content to the website and regularly update specific pages to maintain current information.
  • Take minutes for committee and board meetings upon request and perform other duties as assigned.

Requirements

  • 2 years of administrative experience
  • Proficiency in Microsoft Office Suite
  • Knowledge of database software and virtual meeting platforms
  • Strong organizational skills
  • Ability to work well with others
  • Dependable and reliable
