About the position

The Administrative Assistant at Globus Medical provides comprehensive administrative support to the Senior Vice President, General Counsel, ensuring the efficient operation of the Legal Department. This role requires professionalism, discretion, and strong organizational skills to manage various tasks and responsibilities effectively.

Responsibilities

  • Manage and maintain the SVP, General Counsel's calendar, including scheduling appointments, meetings, and travel arrangements
  • Manage contract database
  • Prepare and edit correspondence, reports, presentations, and legal documents
  • Handle confidential and sensitive information with discretion
  • Serve as the primary point of contact between the General Counsel and internal/external stakeholders
  • Screen and direct incoming calls and emails; respond to inquiries as appropriate
  • Draft and distribute meeting agendas, minutes, and follow-up action items
  • Organize and maintain electronic and paper filing systems
  • Assist in the preparation, review, and filing of legal documents and contracts
  • Ensure all documentation complies with legal and company policies
  • Coordinate and assist with special projects and initiatives as directed by leader
  • Track project deadlines and ensure timely completion of tasks
  • Monitor and order office supplies for the Legal Department
  • Coordinate department meetings, including logistics and catering arrangements
  • Adhere to the company Code of Conduct and all other company policies
  • Ensure compliance with applicable governmental laws, rules, and regulations
  • Represent the company in a professional manner and uphold ethical business practices

Requirements

  • Associate's degree or equivalent; Bachelor's degree preferred
  • Minimum of 3 years of administrative experience, preferably in a legal and/or medical device environment
  • Strong organizational and multitasking abilities
  • Excellent written and verbal communication skills
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Ability to maintain confidentiality and exercise sound judgment
  • Pennsylvania notary certification preferred
  • Familiarity with legal terminology and processes preferred
  • Ensures accuracy in all tasks
  • Prioritizes tasks effectively to meet deadlines
  • Demonstrates a high level of professionalism in all interactions
  • Works collaboratively with others to achieve common goals
  • Flexibility in working hours to accommodate the SVP, General Counsel's schedule

Nice-to-haves
